China holds more exhibition space than any other country, and most major source markets now enter visa-free for business events of up to 30 days. The hard part is not access: it is venue scope, the trade fair calendar and moving a large group through arrival.
Do Attendees Need a Visa for a Business Event in China?
For most passports, no. China grants unilateral visa-free entry to ordinary passport holders from 50 countries for business, tourism, family visits, exchanges and transit, with a maximum stay of 30 days per entry.
The policy is explicit about events. China's consular FAQ states that people arriving for sports events, exhibitions and conferences, or study camps, staying 30 days or less, fall inside visa-free scope. Work, study and news reporting do not.
One date needs a flag in your file. For 48 of those countries the exemption runs to December 31, 2026; Russia's to December 31, 2027, and Brunei's has no end date. If you are contracting 2027 programs, treat that December expiry as a live commercial risk and confirm the position before you publish dates.
Passports outside the 50 have two practical routes:
- 240-hour transit visa-free. Citizens of 57 countries, including the United States, Canada, Brazil and Mexico, may arrive at any of 65 open ports across 24 provinces with a confirmed onward ticket to a third country. The permitted stay is 240 hours, counted from midnight after arrival, and business visits are allowed inside that window.
- An M (business) visa. Issued for commercial and trade activity, including trade fairs. The core document is an invitation letter from a Chinese trade partner or fair organizer, carrying the attendee's details, the purpose and dates of the visit, and the inviting company's seal and signature.
Since November 20, 2025, foreign arrivals can file the arrival card online before departure through the National Immigration Administration's official portal. It is free. Group visa holders and travelers entering under group visa-free arrangements are exempt. Ignore any third-party site that asks for payment.
| Entry route | Best suited to | Stay | What to watch |
|---|---|---|---|
| Unilateral visa-free (50 countries) | European, Japanese, Korean, Australian, Brazilian and Gulf attendees | Up to 30 days | Expiry dates differ by country; not valid for paid work |
| 240-hour transit visa-free (57 countries) | US, Canadian, Mexican and other delegations continuing to a third country | Up to 240 hours | Onward ticket required; activity limited to designated regions |
| M business visa | Anyone outside both schemes, or staying longer | Per visa | Invitation letter must match the stated purpose |
Which Chinese Cities Can Actually Handle a Large Meeting?
Venue supply is no longer the bottleneck. China staged 4,095 trade exhibitions covering 159 million square meters in 2025, both record figures, and holds 13.66 million square meters of indoor exhibition space: 30.9 percent of the world total, the largest national share. Twenty-eight Chinese fairs placed in the global top 100 that year.
The depth shows up at city level:
- Shanghai. The National Exhibition and Convention Center runs 1.47 million square meters of total floor area, with 400,000 square meters indoors, 100,000 outdoors and more than 60 meeting rooms. Shanghai and Beijing both sit inside the global top 50 of ICCA's 2025 association meeting rankings.
- Guangzhou. The Canton Fair complex covers 1.55 million square meters across 54 exhibit sections when the fair is in session, the largest single event footprint in the country.
- Wuzhen, Zhejiang. A canal town that has hosted the World Internet Conference every year since 2014. The 2026 summit runs November 2 to 5, its thirteenth edition, and the surrounding county now stages more than 700 exhibition, conference and event days a year.
The bottleneck is the calendar, not the floor space.
What Does a Chinese Venue Quote Actually Include?
Venue contracts here are not standardized. Ask for each line in writing rather than assuming the hall rate is the cost.
| Line item | Confirm in writing | Why it bites later |
|---|---|---|
| Hall rental hours | Move-in, event days, move-out, overtime rate | Rigging and rehearsal time is often charged separately |
| Power and rigging | Amps per booth, hanging points, in-house vs external crew | External riggers may need approval and a deposit |
| Freight and customs | Bonded handling for exhibition goods, arrival deadline | Late freight can miss the build window |
| Food and beverage | Minimum spend, corkage, outside catering rules | Minimums are often applied per day, not per event |
| Staffing | Security, cleaning, ushers, technicians, hourly rates | Head counts are usually set by the venue, not by you |
How Early Should You Lock Dates?
Earlier than first-time planners expect, because three fixtures move the whole market.
The 140th Canton Fair runs in three phases: October 15 to 19, October 23 to 27, and October 31 to November 4, 2026, with changeover days on October 20 to 22 and October 28 to 30. During those weeks Guangzhou hotel rates and function space are effectively allocated a year ahead. The World Internet Conference takes the first week of November in Wuzhen. National Day week in early October and Spring Festival absorb everything else.
As a working rule, a program of 300 people or more needs nine to twelve months; 100 to 200 people can be secured in about six.
How Do You Move 300 People Through Arrival?
Have every attendee complete the online arrival card before boarding. Stagger flight arrivals across two or three hours instead of landing the group in one wave. Pre-book a meet-and-greet team inside the terminal, not at the curb, and confirm whether the airport allows your staff airside.
For groups beyond roughly 80 travelers, price a separate luggage truck so bags reach the hotel ahead of the coaches, and build a 60-to-90-minute buffer into the first evening.
Where Do Incentive Programs Beat the Conference Hall?
This is where China is genuinely unusual. Dozens of venues that would be treated as heritage sites elsewhere are bookable for private dinners, workshops and product launches: canal towns, courtyard houses, museum galleries, working tea factories and porcelain studios.
Wuzhen is the clearest example. A town of stone bridges and timber houses on the Grand Canal network became a permanent international conference venue, and the same streets that host heads of delegations host corporate dinners. Nearby Puyuan, a fashion town, now serves as overflow event space.
The pattern that works is one immersive cultural day placed after the business content, not before it. Attendees engage properly once the meetings are finished.
Where Do Group Budgets Usually Break?
Not on the headline hotel rate. The recurring surprises are:
- Per-person costing applied to a per-group cost. Coaches, guides, venue labor and freight do not scale per head.
- Free-of-charge ratios. Confirm in the contract how many complimentary places apply, and whether the tour leader's labor is billed separately.
- Single supplements. Delegations with uneven gender splits pay for rooms nobody occupies.
- Interpretation. Booths, receivers and bilingual hosts are separate line items from the venue.
- Visa cost that no longer exists. For visa-free nationalities, redirect that budget to ground handling.
What Should You Ask a Local Partner Before You Sign?
Four questions separate a workable partner from a hopeful one. Who holds the venue contract in their own name? Who is physically on site on the day, and in what language? What happens when a flight is canceled or a speaker drops? And what is the cancellation ladder, in writing?
For delegations that combine site visits with meetings, the structure is closer to a project than a tour. See our guide to bringing a corporate delegation to China, and the entry mechanics are set out in how to apply for a China visa in 2026.
Frequently asked questions
Can I attend a conference in China without a visa?
If you hold a passport from one of the 50 countries with unilateral visa-free access, yes, for up to 30 days, and conferences and exhibitions are named in the policy. Everyone else needs an M visa or a qualifying 240-hour transit.
Is the 30-day visa-free policy still valid in 2026?
Yes. For 48 of the 50 countries it runs to December 31, 2026, with Russia covered to December 31, 2027 and Brunei with no end date. Confirm the status before selling 2027 dates.
Do US attendees need a visa for a meeting in Shanghai?
Not always. US citizens qualify for 240-hour transit visa-free with a confirmed onward ticket to a third country, which covers a short meeting plus a city stay. A longer or single-country round trip needs an M visa with an invitation letter from the Chinese host.
When should we avoid holding an event in China?
Late September through early October for National Day, the Canton Fair phases in mid-October and early November, and the two weeks around Spring Festival. Hotel availability and airfare in those windows move against you.
How far ahead should we book a venue for 300 people?
Nine to twelve months is realistic for tier-one cities, longer if your dates overlap a major trade fair. Room blocks and function space are usually signed together, and the block is the harder constraint.
