Bringing a corporate delegation to China is a logistics project, not a holiday booking. Every passport in the group needs the right visa route, every meeting needs a confirmed host, and interpreters, vehicles and appointments must all be planned backwards from fixed times.
What does a corporate delegation to China actually involve?
Five workstreams run in parallel, and each fails in its own way. Visa routes follow passports and purpose of entry; the programme follows your Chinese hosts; interpreting, transport and facilitation follow you and your operator. The table below is a working rule of thumb for sequencing, not a fixed timetable.
| Workstream | What it covers | Start this far ahead |
|---|---|---|
| Visa route | Visa-free entry, the M visa, or a port group visa for the whole delegation | 4–6 weeks |
| Programme | Meeting hosts, factory and site visits, cultural add-ons | 6–8 weeks |
| Interpreting | Consecutive for small talks, simultaneous booths and receivers for plenary sessions | 3–4 weeks |
| Ground transport | Chartered coaches or cars, drivers, luggage support, airport transfers | 2–4 weeks |
| Facilitation | Badges, room setup, billing, contingency plans | 1–2 weeks |
Which visa route fits your delegation?
Start with the passport list, because the answer changes person by person. A delegation is only as visa-free as its least-covered passport, and one member who needs an M visa can reset the timetable.
- Visa-free entry, up to 30 days. China's unilateral visa-free policy covers ordinary passport holders of 50 countries for business, tourism, family visits, exchange visits and transit. It runs to 31 December 2026 for 48 of them, to 31 December 2027 for Russia, and with no end date for Brunei. Sports events, trade fairs and study camps of 30 days or less qualify; paid work, study and journalism do not.
- 240-hour (10-day) visa-free transit. Open to 57 countries at 65 ports across 24 provincial-level regions, expanded on 20 August 2026 to include Kyrgyzstan and Vietnam. Each traveller needs a confirmed onward ticket to a third country and must stay within the permitted areas. It suits a delegation pairing one business city with a stopover, not a multi-city programme.
- The M visa. The standard business visa, for members without a visa-free route or whose programme runs past the visa-free limits. You need an invitation letter from the Chinese trade partner stating purpose, arrival and departure dates, places to be visited, the relationship between the parties and who pays, plus the inviting company's business licence. Apply online, then submit the passport and biometrics at a Chinese Visa Application Service Center.
- Port group tourist visa. For groups of two or more arriving at a port, the receiving Chinese travel agency applies in advance to the port visa authority with an invitation letter, a name list and the travel plan. It is single entry, valid 15 days, with a stay of up to 30 days. It is a tourist route, so business delegations normally keep it as a fallback.
Do we have to register where we stay?
Yes, and it is the most commonly missed obligation on a business visit. Under Article 39 of the Exit and Entry Administration Law, a hotel registers every foreign guest at check-in and reports the registration to the local public security bureau. Anyone staying outside a hotel — a serviced apartment, a company guesthouse, a private home — must be registered with the local public security authority within 24 hours of arrival, which some cities now accept online.
How do you confirm meetings and site visits?
Chinese hosts rarely commit to a visit on an email thread alone, so give them something formal to work with.
- Ask your host for an invitation letter on company letterhead listing the delegation, the organisations represented and the proposed dates. The same letter supports the M visa applications.
- Technical visits — a production line, a laboratory, a logistics hub — need an agenda agreed in advance, covering room format, presenter count and whether the session is on or off the record.
- Government and industry association meetings usually require a Chinese host organisation to issue the invitation and sit in the room.
- Build in a half-day of heritage or culinary content. It rarely competes with meeting time and is what makes the week memorable. Our corporate visit programmes are structured that way.
What interpreting setup does a delegation need?
Interpretation is the part of a corporate visit that visitors notice only when it goes wrong, and it is decided weeks before departure.
- Consecutive — the speaker talks, pauses, and the interpreter delivers. One interpreter per language pair works for small meetings and site visits.
- Simultaneous — used for plenary sessions and any room with more than a handful of listeners. Interpreters work from soundproof booths; delegates listen on wireless receivers.
- Standards. The older booth standards, ISO 2603:2016 (permanent) and ISO 4043:2016 (mobile), were withdrawn and replaced in 2024 by ISO 17651-1:2024 and ISO 17651-2:2024. Quoting the current edition stops a supplier from offering obsolete equipment.
- Staffing and preparation. Simultaneous work is cognitively heavy, so interpreters work in pairs and rotate; budget two per language for a full day. Send your glossary two weeks out — product names and internal acronyms are where interpretation fails.
How should ground transport be arranged?
China's rules for chartered tourist vehicles are strict, and they apply to corporate groups too. The working standard is the "five don'ts", from joint guidance by six ministries including the Ministry of Transport and the Ministry of Culture and Tourism:
- Do not charter from an operator without a passenger transport business licence.
- Do not charter a vehicle without a valid Road Transport Certificate.
- Do not charter a vehicle without a satellite positioning device.
- Do not charter a vehicle without carrier liability insurance.
- Do not charter a vehicle without a signed charter contract.
For a travel agency, failing the "five don'ts" is a listed major accident hazard, so the checks are not optional. The charter contract is signed between your operator and the transport company, never an individual driver, and the vehicle carries it on board. Check the driver's licence class and professional qualification certificate as well. Coach size follows luggage as much as passengers: a separate luggage vehicle is normal once the group passes ten travellers and carries sample cases or exhibition material. See how transport and visits fit together in our business trip planning guide.
When does the calendar get tight?
Trade fair season is the biggest constraint on business travel to China. The 140th Canton Fair runs from 15 October to 4 November 2026 in Guangzhou in three phases — 15–19 October, 23–27 October and 31 October–4 November — and the previous session drew 314,000 overseas buyers from 220 countries and regions. Hotels, coaches and interpreters across southern China are committed long before it opens, so a delegation travelling to Guangzhou in that window should be confirmed far earlier than usual.
How does LinkedTours help?
We plan inbound travel into China across five lines of business: inbound leisure travel, business travel, tailor-made journeys, study tours, and medical and wellness travel. A corporate delegation sits at the intersection of several of them, which is why we build programme and logistics as one file — visa route by passport, host confirmation and agendas, interpreter and equipment specification, compliant vehicles, and a schedule built backwards from your fixed appointment times. If you are weighing a bespoke programme against a standard itinerary, what a tailor-made China trip includes sets out the difference.
Frequently asked questions
Can a corporate delegation enter China visa-free for a business visit?
Yes, if every member holds a passport covered by the unilateral visa-free policy or a mutual visa-waiver agreement and the visit is for business, tourism, family, exchange or transit of 30 days or less. If one member is uncovered, that person needs an M visa and the group timetable has to absorb it.
How many interpreters does a delegation need?
One per language pair for short consecutive sessions, or two per language working in rotation for full-day simultaneous work, plus a third when the agenda runs into the evening or spans several technical fields.
What are the "five don'ts" for tourist vehicles in China?
They bar chartering a vehicle whose operator lacks a passenger transport business licence, or a vehicle with no valid Road Transport Certificate, no satellite positioning device, no carrier liability insurance, or no signed charter contract. Failing them is a listed major accident hazard for travel agencies.
Does a delegation have to register its accommodation in China?
Yes. Hotels register foreign guests at check-in and report to the local public security bureau. Anyone staying outside a hotel must be registered with the local public security authority within 24 hours of arrival, which some cities accept online.
When is business travel to China busiest?
Trade fair season. The 140th Canton Fair runs from 15 October to 4 November 2026 in Guangzhou, and hotel and transport capacity tightens across the whole window. Spring and autumn are the most comfortable seasons for meetings and city travel; domestic public holidays are the weeks to avoid for site visits and intercity transfers.
